Shared drives
The folder is not the problem. The filename is.
A shared drive is a good place to keep a document and a poor place to run the work it creates. Here is the difference, on the same five documents.

The same five documents, twice
A folder keeps a file. It cannot tell you anything about it.
Nothing on the left is wrong. It is simply all a filename can carry.
On the shared drive
In Nucleus One
Rows 01 and 04 are the same invoice. You cannot tell that from the left.
Illustrative documents, not a customer’s records.
What you can ask for
Five searches a folder cannot run
Each one needs a value that is typed, or the words inside the page.
supplier = Vandelay Industries
A typed field, not a filename
status = awaiting approval
A controlled list the whole team shares
due before 14 Nov
A date that is a date
text contains "easement"
The words inside the page, scans included
added since Monday
An event history, not a modified stamp
Index fields are typed and can be controlled lists. Document text is searchable, including text recovered from scanned paper.
To be clear
Keep the drive. It is a fine place for a finished file.
Nucleus One files documents out to SharePoint and Google Drive through Zapier or the public API once the work on them is done. The drive stays where people browse. What changes is where the work happens before it gets there.
FAQ
Shared drive questions
No. Nucleus One can file documents out to them through Zapier or the public API once the work on them is finished, so the drive stays the place people browse and Nucleus One is where the work happens.
Index on typed fields and controlled lists. Search the text inside documents, scanned paper included. Route through approvals, with the decision kept on the record. Collect from people who have no login, and publish a folder on your own site.
It goes to the recycle bin and can be restored, and the document has an event history, so the deletion is on the record rather than being a file that quietly stopped existing.
