These are some basic configuration steps that need to be completed to begin using Nucleus One. These can be completed by the Organization’s Administrator.
Choose a Section:
Create a new Project
Projects in Nucleus One can be considered as a location of multiple and similar types of documents.
Login to Nucleus One.
Click “User Menu”.
In the menu, click “Manage projects”.
The Projects Page will show.
Click the (+) icon to add a new project.
In the “Add Project” menu, select the Organization.
Enter the new project’s name. Click “Add”.
The New Project’s Page will show.
Invite New Project Members
Project Members are user accounts who will have access to the project.
In the Projects Page, Invite new Project Members by entering their Email Address and clicking on “Invite”. The new Project Member will receive an invitation in their inbox.
Click the “Menu” icon, found at the top-left corner of the webpage.
In the menu panel, select “File Capture”.
You will arrive at the “File Capture” page.
In the “File Capture” page, you have 2 options to capture a file:
Option 1. Drag and Drop
Option 2. Select Files
Capture Original Format Setting
When “Capture original format” is CHECKED, any file captured will be uploaded or captured to Nucleus One as is. If the file captured is an image file, then the image file will NOT be processed for OCR.
When “Capture original format” is UNCHECKED, any image file captured will be processed for OCR and converted to a PDF file. Non-image file captures will be captured as is.
“Select Files” File Capture Method
Go to the File Capture page.
Click “Select Files”.
In the Folder Explorer window, navigate to the folder path of the document file to upload.
Select to highlight one or multiple files to capture.
Click “Open”.
“Drag and Drop Files” File Capture Method
Go to the File Capture page in the browser.
Open Windows Folder Explorer.
Navigate to the folder path of the document file to upload.
Select to highlight one or multiple document files to capture.
Using the mouse, drag the highlighted document files to Nucleus One “File Capture” page in the browser.
Upload Complete
After the Capture Process, an upload progress menu may show.
You will be notified when the capture process is complete.
All newly captured documents will be sent to “Inbox” for further processing.
The “Inbox” is the location in Nucleus One where documents are sent first for further processing.
Click the “Menu” icon at the top left.
In the menu panel, select “Inbox”.
The “Inbox” page will show documents that have not been processed and classified yet.
Click any item row or document card to preview the document.
A new browser tab will launch and show the preview of the document.
Click the “Properties” icon to show or hide the Classification and Fields Panel.
If Classifications have not yet been added or configured, there will be no options for Classification. Add Classifications and Fields.
After Classifications and Fields are added, a document in the Inbox may be processed or classified and indexed. Click “Commit”.
While previewing a document in Nucleus One, click the “Document Menu” icon.
A menu panel will appear.
Click “Manage classifications”
A “Classifications” menu will appear.
In the “Classification” menu, click the (+) icon found at the top-right portion of the menu.
Enter the Classification Name. Click “Add”.
A new Classification will be added to the Classification list.
Continue to add new Classifications.
Click “Close” when done.
While previewing a document in Nucleus One, click the “Document Menu” icon.
A menu panel will appear.
Click “Manage fields”.
An “Index Fields” menu will appear.
In the Index Field menu, click the (+) icon.
Enter a Field Name. Click “Add”.
The new Field will show in the Index Field List.
Continue to add new Fields.
Configuring Fields
While previewing a document in Nucleus One, click the “Document Menu” icon.
A menu panel will appear.
Click “Manage fields”.
An “Index Fields” menu will appear.
In the Index Field menu, all added Index Fields will show.
Click the item row of the Field to configure.
The Field Setting menu will appear.
Field Settings
Field Name. Name of the field.
Label. Enter a label or display name of the field.
Data Type. Select appropriately between “Text”, “Number”, “Currency”, “Date” or “Checkbox”.
Match type. Select email if the field value matches the format of an email address.
Mask. Select the appropriate or matching format of the field.
List Items. Select if the field will have drop-down menu choices.
Multi-Line. Switch on or enable if Field will accept multiple lines.
Required. Switch on or enable if the Field is required.
Sensitive. Switch on or enable if the Field is case-sensitive.
Adding Fields to the Classifications
While previewing a document in Nucleus One, click the “Document Menu” icon.
A menu panel will appear.
Click “Manage fields”.
An “Index Fields” menu will appear.
Click the Classification icon on the Index Field to be added.
Click to switch on or enable to add the Field to the appropriate classification.
Click “Close” when done.
